Do you have two or more email accounts?

Do you at times find it a chore to check all your email accounts?

Do you wish you can check all of them under one roof no matter where you are?

If you answer “Yes” to all the above questions, then you need Gmail.

Gmail allows you to fetch all the emails from all your different email accounts so that you can read them under one roof. And because Gmail is web based, you are not tied down to any computer. You can check it anytime, and anywhere as long as you have a computer and an Internet connection.

What’s cool is that it even allows you to reply from Gmail using your other email accounts! What this means is that let’s say you use Gmail to check yourname@yourcompany.com, you can reply inside your Gmail account using yourname@yourcompany.com so that when people receive that email, it’ll look like it’s coming from yourname@yourcompany.com.

But do note that you’re only allowed to fetch up to 5 accounts for free in Gmail.

Ok. To cut the chase, here’s how to set up your Gmail to fetch your all email accounts:

Log in to your Gmail account. If you don’t have one, register it here.

Make sure your other email accounts have POP3 feature enabled . Nowadays, most email providers have this enabled as default.

Click on the “Settings” link at the top right hand corner of your Gmail page

Click on the “Accounts and Import” tab.

In the Check mail using POP3 section, click the “Add POP3 email account” button.

When a pop-up window shows up, enter the full email address of the account you’d like to access, then click “Next Step“.

Gmail will populate sample settings, if it doesn’t, just key in your settings accordingly. Here’s an example for most of you:

Username: yourname@yourcompany.com

Password: (enter the correct password)

POP Server: mail.yourcompany.com

Decide whether you want to:

Leave a copy of retrieved messages on the server (we recommend you UNCHECK this so that your inbox will not be full so easily)

Always use a secure connection (SSL) when retrieving mail (leave UNCHECK if not sure)

Label incoming messages (we recommend you CHECK this is for proper management of incoming emails)

Archive incoming messages (Skip the Inbox) (leave UNCHECK if not sure)

Assuming your settings are entered correctly, you’ll come to a page that has an option to send mail as yourname@yourcompany.com. CHECK on the option “Yes, I want to be able to send mail as yourname@yourcompany.com“

Follow the instructions on the next page.

At this page, you now have an option to:

Send through Gmail (use this if you’re using free email addresses like Yahoo!, etc)

Send through your company.com SMTP servers (this is recommended for professional domains like yourcompany.com)

SMTP Server: mail.yourcompany.com (Port: 25)

Username: yourname@yourcompany.com

Password: (enter the correct password)

Always use a secure connection (SSL) when sending mail (leave UNCHECK if you’re not sure)

The rest of the steps are quite self explanatory.

When you’re back to the “Accounts and Import” tab, look for the “Send mail as:” section, and make sure you CHECK the “Reply from the same address the message was sent to” button under the “When receiving a message:” option.

There you have it! If you follow the steps listed above and the instructions from Gmail carefully, you should be able to set up your Gmail to fetch other email accounts in no time.

Have fun!

We’re not sure about you, but such kind of impersonal, run-of-the-mill salutation just irks us to the core! It gives others the impression that they either don’t have the budget for a proper email campaign or they simply do not care!

What’s worse is that they don’t give you the option to unsubscribe and the email they use to send is a no-reply email. Man! What’s the difference between their emails and spam? As far as we are concerned, no. Sooner or later, they’ll get into the trouble with being categorised as spammers and their IP address blocked. And to make matter worse, innocent people who share the same server and IP will be affected too.

With that in mind, we have started a service where our customers can send professional looking, and yet personalised HTML newsletter all on their own! And to add icing on the cake, it’s so affordable that now you can’t use the “no budget” excuse.

To find out more about how you can send personlised email newsletter and promotions to your customers without fear of being accused as spammer, check out our new Email Newsletter Marketing service here!

Recently, we’re seeing more and more clients seeking advice on certain emails that they’re receiving. At first glance, these emails appear to be from a well-meaning Internet firm. The emails come with a friendly warning that someone is trying to register domain names similar to their company trademarks, and proceed by offering “assistance”. Other variants include having the company registering the domains with them to “protect the company’s trademarks”.

It would have been a nice reminder/warning if the whole thing was true, but these emails are designed to prey on companies, and some companies may not know if these emails are legitimate.

This could only lead to the scammer extorting a large sum of money for the supposed “retrieval” of the domain names in question, “registering” at an astronomical price, or just phishing where your email is identified as a legitimate, responsive business email address that they can now use to spam.

Here’s an example of one of the emails:

Dear manager,
We are a professional Internet consultant organization in Asia, which
mainly deal with the global companies’domain name registration and
internet intellectual property right protection. Currently, we have a
pretty important issue needing to confirm with your company.

.

On Oct 08,2009, we received an application formally, one person named
“Andrew Hunter” wanted to applied for the Internet brand “yourdomain.com
” and some domain names through our body.

.

During our preliminary investigation,we found that these domain names’
keyword and internet brand is identical with your trademark. I wonder
whether you consigned “Andrew Hunter” to register these domain names
through us or not? Or is “Andrew Hunter” your business partner or
distributor in Asia?

.

Currently, we have postponed this application of this
company temporarily already. In order to deal with this issue better,
please let the principal make a confirmation with me by telephone or email
ASAP.

.

In addition, I must state that we have time limited for one person or one
company’s registration. It is just 15 days. If your company files
doesn’t resent within the time limited. We will unconditionally authorized
the application of “Andrew Hunter”.

.

Thank you for your cooperate.

Bottomline

Don’t fall for this scam. It would make sense for you to register and park the domain name that you want before anyone gets it, and if you’re expanding or thinking of expanding your business into certain countries, then it would also make sense to register the appropriate country extensions, to avoid it being snapped by other people. Besides your competitors, you’ll have to contend with domainers, even scammers. The best thing to prevent losing your domain name or getting into an ugly and drawn-out dispute is to register your domain name beforehand. The cost of a few dollars a year is minuscule compared to the cost of losing the domain name of your choice.

As an owner of a web hosting and web design company, I’m always asked by clients to help improve their website ranking by doing some simple tweaking. If you’re new to the field of search engine optimisation, here are 6 simple steps you can start with to help make your client’s site to be more visible to search engines:

1. Title Tag

Title tag is visible to your site visitors. It appears right on top of the browser. It’s almost the first thing search engines will look for. Most of the time, many a website simply has a, “Welcome to My Company” title. It doesn’t mean a thing to search engines. Unless your company’s name is a household name, no one will key in that name in Google.

Here’s the smart way to put your title tag: <title>Keywords of services provided by your company</title>. And the recommended syntax is: <title>Keyword | Category | Company’s Name</title>. Using my web hosting website for example, it will be:

<title>Singapore web hosting provider | Singapore top web site hosting companies</title>

Did you notice almost all the keywords are in my title tag? Try to keep below 80 words.

2. Meta Description Tag

This is something only visible when viewed through the eyes of search engine pages. Here’s how it looks:

Therefore, your meta description tag not only must contain your keywords, it must also be readable by humans! Do not stuff all your keywords here. Most likely people will not click on it if it doesn’t really describe what your company does. Remember, it’s not called a meta description tag for no reason! Here’s how a meta description tag look like:

<meta name=”description” content=”Web hosting provider Hosthaven, offers small business web hosting services like PHP website hosting, email hosting, ecommerce web site hosting & domain hosting. The best web host for SMEs!” />

Try to stick to 150 characters or less. Otherwise, it may be truncated just like some examples above.

3. Header Tags

Use your header tags wisely. Put in your keywords while maintaing readability. Here’s the importance level of each tag:

<h1>Keywords</h1> Most important! If possible, use it once only so as not to dilute it’s importance.
<h2>Keywords</h2> 2nd most important.
<h3>Keywords</h3>3rd most important.

4. Bold and Italicized Tags

Again, use them wisely and put your keywords there. But use it sparingly. If not, your site will look spammy. Here’s how the tags look:

<strong>Keyword(s)</strong> or <b>Keyword(s)</b> equals Keyword(s) and <em>Keyword(s)</em> equals Keyword(s)

5. Image Tag

Image tag is where you placed your image, like the one above. If possible, use your keyword for both your image file name and the “alt” tag. And try to use image that it also descriptive of your keywords. For example, do not put a picture of flower and name it, singapore-web-hosting.jpg! Here’s how an image tag looks:

<img src=”keyword.jpg” alt=”keyword” />

6. Hyperlinks

Hyperlinks are used when you want to link to a certain page in your website or out to another website. Again, as much as possible, use your keyword(s) to the max while maintaining readability for your site visitors:

<a href=”http://www.hosthaven.com/web-services/” title=”keyword”>Keyword in Anchor Text</a>

Here you are. 6 simple steps to take to help make your site more visible to search engines and thereby increasing your page ranking!

But please always remember this. As much as you’d like to stuff your keywords in a page, make sure it’s readable to humans too.

If you’ve been looking around for a company to host your website, it’s almost certain that you’ve chanced upon many a web hosting company telling you that you can have unlimited amount of disk space when you host with them, have you not?

Before you get all excited with your ‘discovery’, think again very carefully. How is that possible? No matter how big a hard disk, there will be a limit to it. Have you ever owned a computer that gave you unlimited storage space? It’s simply impossible!

So what gives? How can these companies offer unlimited web hosting space?

One word: Overselling.

HOW DOES OVERSELLING OF WEB HOSTING SPACE WORK?

Let’s say a web hosting company has a server with a 100 GB hard disc space. And it starts to sell plans with 1GB space. After selling 100 plans the hard disk space allocated for these 100 clients reaches the limit of 100 GB. However, this web hosting company notices that each month only 20 to 30 GB of hard disc space are “consumed” by the clients hosted on that server.

It decides then to sell more web hosting accounts – over the 100 GB limit of space. After selling another 20 plans and hosting those websites on that same server, they noticed that even with these additional web hosting accounts, the actual space ‘consumed’ only hit 60GB. So it seems there would be no problem to host another 10 or even 20 customers on that server.

Since the cost for the server is constant, every added plan could be easily seen as pure profit. Anyway you look at it, they were able to get more money from that same server.

See how overselling of web hosting hard disk space works here? It applies the same to overselling of bandwidth limit.

From the business point of view, it looks ok. And most web hosting clients are not even aware of it. But herein lies the potential problem: All you need is a couple of web hosting clients on that same server to start hosting websites that upload/download video/mp3 files like YouTube, in no time your website and web space will be affected. Your site will take years to download and you may even have problem receiving any emails because the allotted 1GB space have been used up by others!

Not that I’m selling my company, but it’s just that it’s not worth the savings at all. I’ve been there and done that. Read the blog, “Should I go for cheap web hosting” and you’d know what I mean.

This is specially written for our web hosting clients. But if you stumbled upon this site by chance, you’re welcome to use the method below too!

We’re not sure about you, but we certainly do not want to type a love story whenever we have to fill up a password field. But we also do not want our password to be so easy that even a pre-school kid can guess what it is. And, if possible, we don’t want to use the same password on different sites, because if one is compromised, then our entire online identity is exposed.

Here’s a tip we’d like to share with you guys on how to create super strong passwords for different websites and yet you only have to remember 4 characters!

Decide from the onset:

How many characters you want to use for your passwords. Personally, we feel that between 8 and 9 will suffice.

4 common characters – preferably symbols – you want to use across all the websites which you have to key in password. Symbols are those characters you see that are above the numbers on your keyboard and also to the left of the ‘Enter’, ‘1′ and right ‘Shift’ key. Eg: ~!@#$%^&*()_+”:;’

Where you want these 4 common characters to be: All at the beginning? All at the end? Or two in front and two behind? It’s up to you. But it must be consistent across all the websites.

Here comes the easy part! Construct the rest of the characters using the website name (URL).

Take the first *5 characters of the URL where you want to use the password. *This number is dependent on how many characters you have decided to use for your password.

If the URL has less than 5 characters, then use the whole URL – including the .com, .net. .org., etc.

Here are some examples:

Example No. 1 – This site: www.hosthaven.com

We’ve decided to use 9 characters.

The 4 symbols are: !@)( and we’ve decided to put in at the beginning.

The first 5 characters of this URL is hosth (Ideally, you should also replace e with 3, i with 1, a with @, s with 5, and o with 0). We’ve also decided to capitalize our first character, H. Therefore it will be H05th

And now our password becomes: !@)(H05th

Example No. 2 – www.me.com

We’ve decided to use 9 characters for all websites.

The first 4 symbols and placement are the same for all websites. Therefore, it’s: !@)(

The first 5 characters of the above URL is: M3c0m

And now our password becomes: !@)(M3c0m

Example No. 3 – www.hotmail.com

We’ve decided to use 9 characters for all websites.

The first 4 symbols and placement are the same for all websites. Therefore, it’s: !@)(

The first 5 characters of the above URL is: H0tm@

And now our password becomes: !@)(H0tm@

See? The first 4 characters are essentially the same. And the last 5 represent the URL. Now you can have different passwords for different websites and still can remember all of them! It can be easy to create and remember strong passwords if you just get a little creative.

Try it for yourself and test it using the password meter here.

You know, even as an owner of a web hosting company, I’ve asked that question before! In fact, I was tempted once to switch my personal, non-business websites to a cheap web hosting company. Some of the web hosting services offered by my competitors were so cheap they were way below my cost. So I’ve decided to ‘fall’ for the temptation and switch some of my personal, non business sites there.

Boy, did I regret my decision! The site was always congested. Pages took forever to download. Ok, I exaggerated here a little. Not forever, but still too long for my liking. Initially I thought, “What the heck, these are my personal sites. Why border about download speed?” But then again, even if they were my personal sites, they’re still meant for people to see. If not, why even bother to put it up on the worldwide web? And if people could access my website, and if they observed that my websites were slow to download, it wouldn’t reflect very well on me, would it?

Well, I bit the bullet and quickly cancelled the account and switched my personal sites back to my own company’s servers.

Phew! What a breath of fresh air.

No. I’m not promoting my company. I just find that it’s not worth saving a couple of cents a day in exchange for a bad reputation. Whether a site is personal or business-related, personal reputation is important; and we shouldn’t give it to the cheapest vendor!

1. Cheap or Free

Using WordPress for your website means it’s cheap or free. WordPress is a free Content Management System (CMS) software, you only need to pay for the customisation of the web design. Compared with a paid CMS software, you can easily save thousands of dollars.

2. It’s That Easy
If you’ve got any computer savvy, WordPress is easy to use. If you can send an e-mail, use Microsoft Word or set up a Facebook account, then you can use WordPress. And normal use doesn’t run the risk of mucking up the design. It’s website creation for non-techies.

3. Do It Yourself
With WordPress you enter the Do-It-Yourself world. No more waiting for and paying a programmer to fix a tiny error, saving you time and money.

4. Many Users, Many Places
WordPress is online and offers multiple users, which means you’re not the only one who can fix something in a pinch and you can access it from anywhere. Which means if you’ve got Internet access in Tahiti, you could work from there. That also means your important site is backed up on a secure server with multiple redundancies, not some high school kid’s laptop.

5. Climb the Search Results
WordPress also makes it easier to optimize your search engine results. That means your site is more likely to land on the first page of Google results, which means people are more likely to find you.
